Course Policies & Procedures

Please read our policies and procedures before booking a course.

Certificate

Certificates will be issued upon successful completion of the training. If a participant does not receive their certificate, they must contact us within one week. After one month, an administration fee will be required for record searching. Records are traceable for six months.

Recertifications

Participants are responsible for ensuring that they have a valid certification that has not expired when selecting recertification. Failure to provide such documentation, or providing incorrect documentation at the venue, will result in denial of entry. Participants registering for recertification must ensure they are entitled to it. The organization holds no responsibility if participants book recertification courses without being eligible. To be entitled to recertification, the existing certificate must be from the same company, must not be expired, and must not already have been recertified (certifications can only be recertified once). No refunds will be provided if a recertification course is booked incorrectly.

Cancellations due to instructor illness or emergency

If a class is cancelled, registrants agree to hold the organization harmless from any recourse action. The organization will attempt to find a substitute instructor. If no substitute instructor is found, the class will be postponed to an alternative date, and participants can choose between a full refund or rebooking the course. The organization will not be held responsible for cancellations due to unforeseen circumstances, such as a pandemic that unexpectedly closes its facility.

The class may be cancelled if the minimum number of participants is not met. In such cases, a full refund will be provided.

Inclement weather

Our organization follows the public-school cancellation protocol. To determine whether a class is cancelled due to inclement weather, please visit the school board website for our region. We follow their protocol regarding school closures or openings (excluding bus cancellations).

Health issues

To attend a class, participants must confirm online and at the door that they do not have severe difficulty breathing, severe chest pain, loss of consciousness, chronic health conditions that cause breathing difficulties, fever, cough, sore throat, runny nose, or other symptoms. Participants must also disclose any recent travel outside Canada or close contact with symptomatic individuals suspected of having a communicable illness. Failure or refusal to disclose this information, or answering yes to any of these questions, will result in denial of entry without a refund or rebooking.

Disabilities

Please inform the instructor immediately if you have any disabilities that may interfere with your participation in this course (for example, joint pain, pregnancy, respiratory conditions, or recent surgery).

Accompanying children

Please do not bring children or infants to the classroom. Past experience has shown that teaching and learning become difficult when small children and infants are present. The organization cannot provide child-minding services, and participants bringing infants or children will be denied entry.

Refunds, cancellations, and re-bookings

Essential Safety Academy Inc. (hereafter referred to as “the organization”) will honour refunds, cancellations, and re-bookings if at least 72 hours’ notice is provided. A $30 administration fee applies to cover the cost of re-advertising the vacant seat. Refunds, cancellations, and re-bookings will not be honoured if the participant has already cancelled or postponed a class for any reason. Re-bookings, cancellations, and refund requests due to failure to complete the blended online learning component at the last minute are not acceptable, and a rebooking fee amounting to 60% of the course fee will apply. Participants should complete the online portion one day before the course to ensure sufficient time and technical support if required. The organization does not provide technical support after hours on the eve of a class, and participants are ultimately responsible for completing the blended online component before the class.

Refunds are not applicable for participants who do not follow the organization’s directives and federal, provincial, or municipal laws. The organization reserves the right to refuse to rebook or refund a student due to a “no show,” insufficient notice of absence, attending the wrong venue location, or denial of entry due to lateness or failure to complete the online component. All refund or rebooking requests must be emailed for proper record-keeping. In the case of a missed class due to an infectious illness, participants may be required to show proof of a negative test before attending to ensure the safety of all classroom participants. No refunds will be provided if this rule is refused.

100% class attendance is required to receive your certification. Entry will be denied if participants arrive more than 30 minutes after the start time or if the course has progressed beyond Chapter 1. No refunds will be issued under these circumstances, and a rebooking fee will apply.

Conduct

Entry can be denied, or participants ejected during the course, for disruptive behaviour — including but not limited to swearing, arguing, bullying, issuing threats, poor manners, pressuring staff, delaying the class, failing to pay attention to on-site staff, not following safety rules, sleeping during the course, refusal to learn, excessive chatting, excessive breaks, and refusal to follow instructor directives. This policy includes in-person interactions, phone calls, and emails. No refund will be provided if this policy is exercised.

Waiver

All participants must consent to the following waiver, online and in class:

I hereby release and discharge His Majesty the King in Right of Ontario, the organization, and their respective directors, employees, instructors, subcontractors, volunteers, class participants, servants, agents, successors, and assigns from any fault, liabilities, costs, expenses, claims, demands, causes of action, lawsuits, damages, judgments, or any other actions arising out of or related to my registration, attendance, participation, or any act or omission, including personal injury incurred during the course. I agree to indemnify and hold harmless the organization and its affiliates from any fault, liabilities, costs, expenses, claims, demands, causes of action, lawsuits, damages, judgments, or any other actions related to the course or any act or omission.

If I am employed by or related to a direct competitor, taxation entity, or investigative body, I must identify myself to the organization immediately and state my purpose for attendance. Attendance for the purpose of gaining inside knowledge of the organization is prohibited, and failure to identify my affiliation means none of my classroom experiences can be used against the organization.
